In this policy, “we” “us” and “our” are  HOUSING NET Pty Limited (ABN 16 665 197 428)  (which operates the website housingnet.com.au and certain services under the name “Housingnet,” and is referred to as “Housingnet” in this Privacy Policy), provides a secure housing solution platform along with allied health services for our participants in the disability community. This Privacy Policy is designed to help you understand how we collect, use, and share your information, and to help you understand and exercise your privacy choices.

How we respect information privacy

We understand the importance of protecting your personal information.

Whenever we collect and handle personal info, we’re bound by the Privacy Act. That includes the Australian Privacy Principles (“APPs”).

Information we collect, how we use it, and how we disclose it

The kinds of things you do on our websites might mean we need to collect your personal information. If you want us to send you emails, for example, we’ll need to collect your email address. So, a lot of the time, you’ll know what info we’re collecting, and when. After all, you’ll be giving us the information yourself.

We might also collect non-personal information, like a list of the pages you look at on our websites. We do this so that we can give you the most helpful, personal experience of our services. For example, we use it to suggest properties like the ones you look at most often. We often use cookies or other technology to collect this kind of info. So, you might not realise every time it’s happening.

By using our sites, you agree to only ever give us:

  • personal info someone's agreed for you to share with us, like a referee in a application form.

We’ll only ever use or share your information for the purpose you gave it to us for, or something closely related to that. For example, if you sign up for a newsletter to view articles and suburb review content, we might also show you articles with Lifestyle and Tips or in Help articles when you come to our websites.

1 - If you browse our sites, or sign up for an account with us

1.1 - Information we collect.

Here are some of the common cases where we collect your personal information:

  1. You register to use our websites through verifying by a phone number.

  2. You subscribe to receive alerts or emails; fill in forms; create applications; complete surveys or research; and take part in promotions and competitions on our websites or those of our service providers.

  3. You contact us or our service providers for any reason. For instance, you might report a problem with our websites, seek further services or ask for help.

  4. You post on or add material to our websites.

  5. You use our services and any credit provided by us in connection with those services.

What actual information are we talking about? It can include:

  1. Name of referrer, first date becoming a referrer, relationship to participant,

  2. Referrer Organisation name, address, and contact number, contact email

  3. Participant name,

  4. Participant address,

  5. Participant phone number,

  6. Participant email address,

  7. Participant Date of Birth,

  8. Participant gender ,

  9. Participant NDIS number

  10. Status of the current NDIS funding manages

  11. Plan dates

And personal interests or behavioural information, for example, the links you click on any other information you share with us.

If you subscribe to alert services on this website, of course, we’ll need to collect your name and email address.

We might also use tracking technologies to collect non-personal information about you. Those technologies include cookies, web beacons, and measurement software. And they might collect data about your activities on our websites, including IP addresses. Our service providers, and third parties like analytics, advertising, or ad-serving partners, can do the same. They might use cookies to collect information about your visits to our websites.

We may also collect your personal information through our other businesses, service providers, and third parties. This helps us provide better, more relevant services and products to you.

This gives the agent a clearer picture of what interests you, so they can serve you better.

  7. contact you to conduct research, and ask for feedback on our products, services or websites.

  8. verify your identity and remind you of your credentials.

  9. allow you to use interactive features of our service, such as loan calculators.

  10. improve the quality and functionality of our products and services.

  11. help meet our obligations arising from any contracts you enter into with us.

  12. let you know about changes to our products and services.

 

Without your personal info, we may not be able to provide these services.

We use the information we collect through cookies and web beacons in line with this Privacy Policy, to do things like:

  • report statistics

  • analyse trends

  • deliver our services

  • diagnose problems

  • target and improve the quality of our products and services

  • provide more relevant services and advertising to you on our websites, and on third-party websites. Our service providers and other third parties may do that, too.

1.3 - Who we share it with.

We might use your personal information to tell you about things we think might interest you. That includes offers, promotions, products, or services you like most.

If we contact you for these reasons, you’ll always be able to “opt out”. That means you can ask that your info isn’t used to do this again.

 

We might also share your personal information in these cases:

  1. When you send an enquiry. It could be to an accommodation provider, property provider or an allied health provider who is involved on your enquiry or your booking of a healthcare service.

  2. When you request products or services from us or our service providers. We share your info so that they can provide you with those products or services, or help us to do that. And if you’ve subscribed to Google’s Google Now service through the operating system on your mobile device? We’ll share information such as your search history with Google. Moreover, you’ll always be able to “optout”, if you don't want to share in the service.

  3. In special cases where we need to help identify, contact, or bring legal action against someone who's doing the wrong thing. They could be damaging, injuring, or interfering with our rights or property, our users, or anyone else. In those cases, we’ll share your information with the government or regulatory authorities. We might also share it with our legal representatives or other concerned parties. Where the law permits or requires us to do so.

In addition, you might use our sites to ask for information from another organisation or individual. We’re not responsible for what they do with any personal information you send in your request. Check their privacy policies to make sure you’re satisfied with the ways they protect and use your data.

 

1.4 - How we secure it.

 

We're committed to keeping your information safe. So, we have dedicated teams focused on securing your information and our systems.

We have internal controls to make sure we only collect the smallest amount of personal info we need for any given purpose.

Our employees are all obliged to respect the confidentiality of your info. So are any third parties who provide services related to our information systems.

We also make sure we delete or de-identify personal info when we no longer need it.

 

We use a thorough process to assess the IT security of any suppliers who may hold or process your personal info on our behalf.

We constantly review and update our security measures in line with current technologies. Unfortunately, no data transmission over the internet can be guaranteed to be totally secure.

 

2. If you apply as an Allied Health Provider

2.1 - Information we collect.

Here are some of the common cases where we collect your personal information:

  1. You register to use our websites through verifying by a phone number.

  2. You subscribe to receive alerts or emails; fill in forms; create applications; complete surveys or research; and take part in promotions and competitions on our websites or those of our service providers.

  3. You contact us or our service providers for any reason. For instance, you might report a problem with our websites, seek further services or ask for help.

  4. You post on or add material to our websites.

  5. You use our services and any credit provided by us in connection with those services.

We may collect personal information to confirm your identity. That may include details from your:

  1. a valid Australia full right working approval

  2. a valid driver's license.

  3. a valid Work with children.

  4. a valid Police check.

  5. a valid COVID-19 Infection Certificate

  6. a valid Insurance Certificate of Currency

  7. a valid Australian Health Practitioner Regulation Agency (AHPRA)

  8. Qualifications and Certificates of your Profession.

  9. Information about your operational experience history.

We will also collect any info you include in an application form, such as:

  1. Profile photo

  2. name

  3. Date of Birth

  4. gender

  5. contact number

  6. address

  7. postal address

  8. your Personality, your interests, and your offers

  9. and all your preferences

2.2 - How we use it. 

We use this information to help you secure a healthcare service. For example, we will check your service register to ensure all submitted documents match the requirements to support your registered service.

We also use the information you register to help participants find health care provider more quickly and appropriately through the search engines on the Housingnet platform.

The info you provide for registering to be an allied health provider is not used for any other purposes without your consent.

In addition, we use your contact information to provide reminders during booking support for both you and participants related to that booking, or to notify you of the latest updates and changes.

2.3 - Who we share it with. 

By default, when you successfully register with Housingnet, the information we display to help Housingnet’s registered members find your service includes:

  • your profile photo. (you can opt-in or opt-out);

  • time available;

  • introduction description;

  • the area you work in (shows suburbs and states only);

  • your background (such as your interests, language, culture, interests);

  • confirmation from Housingnet of your qualifications and valid experience supporting your expertise;

  • participant review about the health care services you provide.

In addition, we do not display detailed information about your professional qualifications and experience, and personal documents such as Driver's license Work with children check, or police check...

 

2.4 - How we secure it. 

We delete the identification documents you provide in your application 30 days after the expiration date of your application.

If a booking arises for your service but you do not confirm with Housingnet Administrator that you are aware of and have agreed to schedule that booking by not answering our phone call or not responding to our emails within 3 working days. We may consider notifying you of a temporary suspension of your service registration until the agreement is properly re-established.

 

Then, if you do not edit, or renew your offer for 24 months, we will delete all of your information except your name, email address, and contact phone number.   

 

3. If you apply as an Accommodation Provider

 

3.1 - Information we collect.

Here are some of the common cases where we collect your personal information:

  1. You register to use our websites by verifying by a phone number.

  2. You subscribe to receive alerts or emails; fill in forms; create applications; complete surveys or research; and take part in promotions and competitions on our websites or those of our service providers.

  3. You contact us or our service providers for any reason. For instance, you might report a problem with our websites, seek further services or ask for help.

  4. You post on or add material to our websites.

  5. You use our services and any credit provided by us in connection with those services.

For these services, we may collect more information from you directly, such as your:

  1. contact name;

  2. contact phone number;

  3. your local address;

  4. Australian Business Number (ABN)

To help you with, and assess your application, we may also get business information about you from:

  1. Organisation name;

  2. Organisation Logo

  3. Organisation Website;

  4. Organisation Phone number;

  5. Organisation email;

  6. Organisation description;

We’ll collect information directly from you where we can, or we can require it via email and notification on Housinget platform.

In addition, the images, videos and valid information you post on our site about your accommodation are also the information we store to serve the display of your properties on the platform.

 

3.2 - How we use it 

We use your information to:

  1. improve your security when you visit our websites;

  2. present website content in the most effective way for you and your devices;

  3. provide accommodations and services you request when using the search system;

  4. respond to your enquiries;

  5. create and maintain your accounts with us;

  6. ensure you adhere to our contractual terms and conditions;

  7. offer other products and services you may be interested in;

  8. provide you with a better or more relevant service or product. For instance, we might help you save time by pre-filling a form with information you’ve already shared with us;

  9. customise the services, experience, advertising and content you see on our, and our partners' websites;

  10. combine with info we’ve collected from service providers, third parties, cookies or web beacons. We do this to give you a more relevant, personalised experience;

  11. contact you to conduct research, and ask for feedback on our products, services or websites;

  12. verify your identity and remind you of your credentials;

  13. allow you to use interactive features of our service;

  14. improve the quality and functionality of our products and services;

  15. help meet our obligations.

 

3.3 - Who we share it with.

By default, when you successfully register with Housingnet, the information we display to help Housingnet’s registered members to find your properties includes:

  • your property's details; (you can opt in or opt out);

  • Organisation name.

  • Organisation Website Address.

  • Business Logo. (you can opt in or opt out);

  • Business Location ( only show suburb and State )

  • Business Description; 

  • participant review about this property you provide.

In addition, we do not display detailed information about your contact name, your contact phone number, and your email address.

 3.4 - How we secure it. 

We hide your content if you do not renew it by clicking the "renew" button on each content you post within 90 days.

 

In case you delete a property you created by clicking on the "remove" button. This Property's information will be temporarily hidden from you and all users.

2-year temporary Storage only serves in case you want to restore terminated information and supports the auditing and monitoring activities of the Platform. After 2 years from when your account is determined to be terminated, all of your information will be completely deleted from the platform.

If you need to restore due to accidental deletion, you can email our admins at support@housingnet.com.au, we can look into assisting you in restoring the display of this asset.

 

4. If you apply a job at Housing Net Pty Ltd.

4.1 - Information we collect.

If you apply for a job with us, we might collect your personal information. That’s true whether you apply directly to us, through a social networking site such as LinkedIn, or through your referees. We may also collect information about your employment and academic history.

4.2 - How we use it 

We may use that personal information to:

  • consider you for the position you applied for, or any other positions that are, or become available;

  • respond to you about any future application you make to work with us;

  • contact your referees to get the info you’ve agreed to collect in order to consider you for a role with us.    

 

5. Storing and securing your data.

 

5.1 - How we store your data.

We store personal information we collect from you on our servers and in data centres in Australia, and apart outside Australia.

These data centres provide secure storage, backup, and data retrieval services. We transfer your data to them so we can deliver the products and services you’ve asked for. When you give us your personal info, you give us your consent to store that info outside of Australia for these purposes.

We have robust policies and procedures in place to secure the storage and processing of data. We’ve verified the security arrangements of our outsourced data processors.

 

5.2 - How we secure your data.

5.3 - How long we keep your data.

We only collect personal information for real, current purposes, not for possible future uses. And we only keep your personal info for as long as we need it. After that, we seek to destroy or permanently de-identify it.

How long we keep your info depends on how sensitive it is: the more sensitive the information, the faster we destroy or de-identify it.

So, for example, we keep personal identity documents for a short period of time. With more common, and potentially public information, such as your name and contact details, we’ll keep it for longer.

6. Controlling your personal information.

 

6.1 Controlling the personal information that you share.

If you don’t want to share certain personal information with us, don’t.

For example, if a form field is optional, and you don’t want to share the info it asks for, submit the form without it.

Of course, often we’ll need your personal information to provide you with a service or product that you want. If you don’t share that info, you won’t be able to access the service.

 

6.2 - Controlling cookies and other tools.

Our Cookie Policy explains how we use cookies and similar technologies. It also explains how you can manage your preferences around these tools.

 

6.3 Accessing and correcting your personal information.

You can see the personal information we hold about you, with a few exceptions according to the law. To request access to your personal info, contact us.

We take all reasonable steps to make sure the information we hold about you is accurate. But what if you find some of that information is incorrect? We have a fair and responsible system for handling complaints.
